Executive Assistant – Global Insurance to £50k

  • Executive Assistant – One to One – Executive Committee

    This high level Executive Assistant role is to support a Group Head of a dynamic, forward thinking leading global Insurance Services business in the City.

    The role requires the EA to be “one step ahead”, a pro-active approach and be able to anticipate what is required and to ensure the Group Head is fully prepped for meetings and key activities in the business.

    Day to day responsibilities of the Executive Assistant to Group Head include:

    • Managing diaries and utilising commercial awareness to understand priorities and execute accordingly, travel co-ordination and expenses
    • Ensure all Exec Committee meetings and team 1:1s are prioritised ad co-ordinated
    • Collate and compile reports and information packs in advance of meetings
    • Inbox management – gain a good understanding of priorities and key stakeholders
    • Working closely with internal and external parties
    • Plan and schedule key internal meetings, town halls and a range of Committee meetings
    • Manage  and track the department budget
    • Minuting team meetings
    • Event management, away days, Leadership events etc:
    • managing transport and accommodation
    • ensure key participants are available
    • organise the invitation and response process
    • prepare event information such as schedules, agendas and attendee bios
    • co-ordinate external providers etc

    Skills and Experience required

    • Senior PA / EA experience, gained ideally in an Insurance services business or global corporate professional services
    • Bags of initiative, time management and able to work flexibly
    • Strong negotiation and persuasion skills
    • Excellent relationship building expertise
    • Good with budgets
