  • An independent construction and property consultancy working across all sectors of the built environment are looking Team Secretary to join their head offices in Central London.

    They are one of the most ethical firms in the built environment. Each year the firm and individuals support charitable causes through our social impact programme giving back to the communities they help to build. They offer excellent scope to develop and progress within the organisation.

    The ideal candidate will need good IT skills in general; excel for invoicing  but also have the creative aspect such as InDesign/photoshop ideally to work on Bids. But this is not essential.

    Main Purpose of Job

    We are seeking a Team Secretary in our London office to assist two Executive Assistants in the smooth running of their teams which together is approximately 150 people. This candidate will need to be able to adapt between the teams and be proactive in helping with the workload.

    Principal Tasks

    • Proactively manage and maintain diaries, making appointments and co-ordinating internal and external client meetings and ensuring all work activities are scheduled effectively, including the identification and resolution of potential challenges and clashes.
    • Arrange overseas and regional travel and hotel arrangements via online agent and where required direct with the hotel or airline.
    • Arrange the booking of meeting rooms, video/conference facilities, refreshments, restaurants, taxis etc. and liaise with internal and external meeting attendees.
    • Responding and dealing with external or internal telephone calls and queries in a professional manner, taking clear and concise messages.
    • Taking a proactive approach to correspondence e.g. dealing with issues or drafting responses before being asked.
    • Liaising with wider team and collating time sheets/expenses/forms/invoices, ensuring these are processed and distributed as required.
    • Organising events such as team meetings, socials, hospitality, business updates.
    • On-boarding new staff and sub-consultants.
    • Proof reading work to ensure consistent accuracy and high standard.

    Skills and Experience

    • Minimum of 1-2 years of work experience within an admin role. Some secretarial or PA experience with formal administration / secretarial training highly desirable
    • Advanced in Microsoft Office and ideally have experience with InDesign and photoshop although not essential
    • Excellent attention to detail and accurate typing skills essential
    • Strong numerical skills as well as written and verbal communication skills
    • Complete discretion in the handling of sensitive commercial information
